A spreadsheet can be a sensible way to track a small number of jobs. The question is whether your team can still tell which information is current, who owns each job and what needs to happen next.
Look for repeated work and missing handovers
Common reasons to review an order workflow include copying the same details into several files, chasing staff for updates, losing track of quotes or finding that stock and job records disagree. Note the actual problem and how often it happens before deciding on software.
Map one order from start to finish
Use a fictional order and list the stages: enquiry, quote, approval, work, payment and completion. At each stage, record who is responsible and what information they need. This makes it easier to see whether clearer responsibilities or a shared tool would solve the problem.
Compare three practical options
- Improve the current spreadsheet: useful when the workflow is simple and the main issue is consistency.
- Use ready-made software: worth assessing when its standard workflow fits your business.
- Build a custom system: worth discussing when important requirements or integrations are not met by suitable existing tools.
Consider setup, training, subscriptions, maintenance and how you can export your information. Custom development is a project to maintain, so the benefit should be clear.
Define a first version you can test
Start with a few essential capabilities, such as recording an order, assigning an owner, updating its status and finding it again. Include staff permissions, backup and export needs in the brief. Add more functions after the core workflow works for the people using it.
Use a realistic acceptance example
For example: a staff member creates a fictional order, another updates its progress, and the manager can see the change and export the record. This is an illustrative test, not a claim about an existing client project. Your own test should reflect your actual process.
