Decide Whether a Google Forms File Upload Fits Your Customers

by AEPC / AKL East PC 27 Sep 2026

A photo can help explain a damaged hinge or an on-screen error, but the upload method must work for the customer. Google Forms file-upload questions require the responder to sign in to a Google Account. Decide whether that requirement fits the enquiry process before adding a mandatory photo field.

Write clear instructions for the image you need. An exterior damage photo is different from a screenshot containing customer records. Ask for the relevant area and provide an alternative contact route when uploading is impractical. Do not ask for passwords or recovery codes in the image.

Check the form’s storage and limits

Google does not offer file-upload questions when the form is stored in a shared drive, or when the relevant administrator Data Loss Prevention setting prevents them. If the question type is unavailable, check the form’s location and organisational policy rather than repeatedly rebuilding the form.

For a supported form, choose the allowed file types, maximum number of files and maximum size to fit the request. Uploaded files go into a folder in the form owner’s Google Drive. Identify who will review that folder and how the business will retain access during staff changes.

Test with a representative phone photo

Use a harmless sample image with no customer information. Follow the responder link from the sort of phone a customer might use, sign in as the test responder and try the complete upload. Check whether the instruction and any size error are understandable on the small screen.

As the form owner, locate the submission and open the uploaded image from its actual destination. Confirm that an authorised colleague responsible for enquiries can also use the result. A successful upload by the owner alone does not test the customer journey.

If the sign-in requirement blocks the intended audience, choose another supported intake method. Making a broad company folder editable to anyone is not a sensible workaround for one photo-upload question.
