Check a Google Form as a Customer Before Publishing Its Link

by AEPC / AKL East PC 27 Sep 2026

The form owner can often open a form that a customer cannot. Before putting a Google Forms link on a business website, test the responder journey with the type of account the intended customer will actually use. Also check what appears after submission.

Start by defining the audience: invited staff, named customers or anyone who visits the website. Decide whether requiring a Google sign-in is acceptable. Google’s Limit to 1 response setting requires responders to sign in, which can be an unexpected obstacle for a public enquiry form.

Check access and the completion screen

Review the form’s publishing settings and responder access. An unpublished form is unavailable to responders even if they have its link. Share the responder link for submissions; do not send an editor invitation just to make an access problem disappear.

Inspect View results summary before testing. When enabled, it can expose full-text answers or charts to people who can respond. A repair enquiry containing names or fault descriptions normally needs a deliberately chosen audience for those records, not an accidental response summary.

Set a confirmation message that states what happens next. For example, say the enquiry has been received for review if a technician still needs to confirm the booking. Avoid wording that promises an appointment merely because a form was submitted.

Run a realistic acceptance test

Use fictitious details and a clearly marked test enquiry. Open the responder link in a separate browser session representing the intended audience. Check access, required fields, submission success and the final screen. Then locate that exact test response as the form owner.

Have the person responsible for incoming enquiries explain where they will see it and what they will do next. If no one owns that step, the form is not ready for the business process even when submission works.

Record the tested link, audience and settings before publishing it on the website. Repeat the check when sign-in restrictions, response visibility or the enquiry-handling arrangement changes.
