Check a Google Calendar Meeting Across Time Zones Before Sending It

by AEPC / AKL East PC 27 Sep 2026

“Tuesday at ten” is incomplete when participants work in different time zones. Agree on the date, time and reference city first. Then use the event’s time-zone setting to represent that agreement, rather than mentally adding a fixed number of hours.

Separate two questions: when the meeting actually occurs, and how your calendar displays that moment. Travelling can change the local display without moving the meeting. Editing an event’s time to make it look familiar can therefore create a real scheduling mistake.

Enter the agreed zone explicitly

In Google Calendar’s event editor, open Time zone beside the event time and select the intended city or region. For a normal remote meeting, use the same reference zone for the start and end. Separate start and end zones are available for situations such as travel, where that distinction is intentional.

Google Calendar presents the event in each viewer’s own time zone. Add another time zone or world clock to your calendar view when working regularly with an overseas team. Check the exact date, including whether the other location is on the previous or following day.

Rehearse the recipient view

Before sending the real invitation, inspect a harmless draft or test event in both relevant zones. Write down the expected local date and time for each participant and compare it with the displayed result. Use current regional zones rather than a remembered fixed offset, particularly around daylight-saving changes.

For a recurring series, inspect occurrences on both sides of a daylight-saving transition. Decide which location’s working time the series should preserve and confirm that expectation with the organiser.

Google notes that distant historical or future events can be affected by changes in time-zone rules. Recheck important bookings nearer the date if rules change.

When correcting an already-shared event, explain the corrected date and reference zone in the update. A silent time change can leave recipients relying on an older message even when the calendar entry itself is right.
