A Deleted OneDrive File May Be in the Web Recycle Bin

by AEPC / AKL East PC 27 Sep 2026

An empty Windows Recycle Bin does not settle whether a OneDrive file can be restored. Files deleted while online-only, or deleted through the web, may need to be recovered from OneDrive's website instead.

Avoid cleaning either recycle bin while investigating. Write down the missing filename, likely folder, account and approximate deletion date. If you have several Microsoft accounts, verify which one owned the file. A shared document may belong to another person or a SharePoint library, requiring help from that owner or organisation.

Look in the correct place

Check the Windows Recycle Bin for a locally deleted copy. If it is not there, sign in to OneDrive on the web with the appropriate account, open Recycle bin, locate the item and choose Restore. Inspect a few matching names carefully before selecting a whole group: a similarly named old draft may not be the file you need.

Microsoft documents different retention periods for personal and work or school accounts, and organisation settings can change the latter. Treat restoration as time-sensitive. Permanently deleting something from the OneDrive recycle bin removes that recovery route; an independent backup may then be the remaining option.

Verify where the restored item landed

After restoration, open the file through the website and inspect its contents. Then check the expected folder on the PC once syncing has caught up. If the file appears online but not locally, avoid restoring it repeatedly. Investigate the account and sync state first.

For a folder, sample more than one file and confirm that the important subfolders returned. A restored folder name is not enough to prove a complete working set.

Finally, identify what caused the deletion. If another device or collaborator is still removing the same files, restoring them alone will not resolve the workflow problem. Agree on the intended folder and ownership before resuming normal use, and retain a separate backup of critical work.
