Save Mac Print Presets Without Losing the Settings of the Current Job

by AEPC / AKL East PC 28 Sep 2026

A saved print preset can make repeated work quicker, but different preset types have different scope. If selecting one changes paper size or finishing choices unexpectedly, inspect what the preset contains before blaming the printer.

Start with a harmless document and the intended printer. Write down the output requirements: page size, orientation, colour choice and any supported finishing. This small checklist becomes the test for the saved preset.

Choose the appropriate scope

Apple distinguishes a Print Job preset, which stores all print settings, from a Custom preset, which stores selected settings while leaving other choices in place. A complete recurring job and a small reusable adjustment therefore need different preset types.

In File, Print, set the required choices, open the Presets menu and choose Save Current Settings as Preset. Give it a descriptive name, select its type and choose whether it is available for the current printer or all printers.

Use a printer-specific preset when the settings depend on that device’s supported trays or finishing. A broadly available name does not make a physical feature available on every printer.

When combining presets, Apple’s guidance is to select the Print Job preset first and then the Custom presets. Selecting a whole-job preset afterwards replaces the settings already chosen, including changes from a custom preset.

Test the saved combination

Close and reopen the print dialogue, select the intended printer and apply the presets in the planned order. Inspect the final settings against your checklist rather than relying on the preset’s name.

Print a short proof and check the physical output, including paper size and the relationship between front and back where applicable. Keep that test separate from a large customer or internal document batch.

If one setting is wrong, correct the relevant preset deliberately and repeat the proof. Avoid creating several nearly identical names without recording which one is current.

Before the next unrelated job, inspect its final settings again. A preset is a convenient saved instruction, not an automatic judgement about the document being printed. The useful result is a repeatable, verified output with a name and printer scope that make sense to the next person using it.
