Data Recovery and How It Works

When files disappear — don’t panic 😰

We’ve all been there: that sinking feeling when you realise an important document, photo, or project file is suddenly gone. Whether it’s from an accidental delete, a crashed drive, or corrupted memory card, data loss happens to the best of us.

Some lost data may be recoverable, but the result depends on the device, failure and any further use. Avoid writing new data to affected storage and seek advice if files are important.

Let’s unpack how data recovery actually works and what you can do to protect your valuable files.

🔍 How Data Recovery Works

Data recovery is the process of retrieving inaccessible, lost, corrupted, or formatted data from storage devices like hard drives, SSDs, USBs, or SD cards.

Here’s a simplified look at what happens behind the scenes:

1. Diagnosis

Professionals begin by assessing the device — identifying whether the issue is logical (software or file system corruption) or physical (hardware damage, bad sectors, etc.).

2. Data Extraction

Specialised recovery tools and hardware are used to safely extract data.

  • For logical failures, software tools read damaged file tables and reconstruct data.

  • For physical failures, engineers may open drives in a cleanroom environment to repair components before extracting data.

3. Verification

Recovered files are checked for integrity to ensure the data is usable.

4. Transfer & Backup

Finally, your recovered data is securely copied to a new, healthy storage device.

🧑🔧 When to Call a Pro

If you notice any of these symptoms, stop using the device immediately:

  • Clicking, grinding, or beeping sounds from a hard drive

  • Drive not showing up on your computer

  • Repeated crashes or “disk not recognised” messages

  • Missing folders or corrupted file names

⚠️ Attempting DIY recovery (especially on damaged drives) can overwrite or destroy recoverable data.

If the data is important or the drive shows physical-failure symptoms, stop experimenting and ask about an assessment before further use.

Questions to discuss before approving work

  • What storage device and failure type are involved, and should testing stop to avoid further damage?
  • What assessment fees, privacy arrangements and recovery limitations apply?
  • How will any recovered files be checked, and where will they be copied?

🧠 Prevention & Best Practices

Keep your data safe with these habits:

  • ✅ Back up important files to multiple locations (cloud + external drive).

  • ⚙️ Replace failing drives early — don’t wait for complete failure.

  • 🔒 Use surge protectors and keep your PC well-ventilated.

  • ☁️ Consider automatic cloud backup tools (e.g. OneDrive, Google Drive).

  • 🚫 Never open or shake a damaged hard drive — it makes recovery harder.

📞 Need Professional Help?

If important files are missing, discuss the storage condition and recovery options before running software that could change the affected device.

FAQ

1. Can deleted files be recovered after formatting?
Yes — in many cases. As long as the data hasn’t been overwritten, recovery tools can often retrieve it.

2. How long does data recovery take?
Timing depends on the fault, model, assessment and any parts required. Ask for a current estimate before approving work; no completion time is promised here.

3. Is my data safe during recovery?
The outcome depends on the fault, storage condition, encryption and available backups. Discuss a data-protection plan before testing or migration. Do not assume that files can be preserved or recovered in every case.

4. Can you recover data from SSDs or USBs?
Provide the exact model, fault and requirements when contacting AEPC. Confirm whether the requested assessment, service or arrangement is available before visiting or making plans.

5. How much does data recovery cost?
Costs depend on the model, fault, assessment and parts or recovery work involved. Ask about any assessment fee and request an itemised estimate before approving work.
