Build a Word Form With Choices That Match What the User May Enter

by AEPC / AKL East PC 28 Sep 2026

A line of underscores tells a respondent where an answer might go, but it does not define what kind of answer is expected. Word content controls can make the distinction between a free description, a fixed choice and a date clearer.

Prepare a small form with three labelled questions and fictional test data. Decide the allowed response for each before adding controls. If an answer can legitimately fall outside a list, determine how the respondent should express it rather than silently forcing the nearest option.

Choose controls for the intended input

In desktop Word for Windows, show Developer through File, Options, Customize Ribbon and its Main Tabs list if necessary. The Developer Controls group includes plain-text, rich-text, drop-down, combo-box and date-picker controls. Rich text permits formatting and multiple paragraphs; plain text limits those capabilities. A drop-down permits listed choices, while a combo box also lets the respondent type another value.

Insert the appropriate control beside each question. For a list, select it, open Properties and add its choices. Set the date picker's display format deliberately. Microsoft warns that selecting Contents Cannot Be Edited on a choice control prevents users from choosing an entry.

Complete the sample as a respondent

Use a copy of the form and fill every control. Try a normal description, a long description and each available choice. Inspect whether the label remains associated with the answer and whether an allowed free response is actually possible.

Check a date whose day and month could otherwise be confused, using the visible format and instructions together. A date picker provides an entry mechanism; it does not decide which business date the question intends to collect.

Test keyboard navigation and save and reopen the completed copy in the intended Word environment. Confirm that answers persist and that any editing restrictions you add still allow the required responses. Keep the unfilled master separate.

If paper completion matters too, inspect a printed or PDF sample: Microsoft notes that content-control boxes themselves do not print. Provide visible labels and sufficient answer space. Word for the web cannot create these fillable forms, so confirm the actual creation and completion environment rather than assuming every Word interface offers the same tools.
