Build a OneNote Review Summary From Tagged Passages in the Intended Scope

by AEPC / AKL East PC 28 Sep 2026

Questions can be scattered through several pages of project notes. A review summary is useful only if it includes the intended passages and enough context to understand them. A tag attached to an unexplained fragment such as Check this does not become a clear action merely because it appears in a list.

Choose one project section and identify two questions that belong in the review. Keep a similarly tagged question in another section as an exclusion example. Add the owner, subject or decision needed to each source passage before collecting it.

Tag the passage, then define the search

In desktop OneNote for Windows, place the cursor at the beginning of the relevant line and choose a tag under Home, Tags. Microsoft supports tagging text from a line to a paragraph. Tags must be associated with typed or handwritten notes to appear in the tag search.

Choose Home, Find Tags. In Tags Summary, use the Search drop-down to select the intended scope, then click Refresh Results. Selecting a result opens its source page. Once the results are suitable, Create Summary Page presents them as a notes page.

Inspect the two intended questions and the excluded example before creating the review page. If the excluded item appears, correct the search scope. If an intended item is missing, inspect its actual note and tag association rather than rewriting it elsewhere just to make it visible.

Turn the list into a usable review

Open each result at its source and read the surrounding explanation. Distinguish an unanswered question from an issue that was already resolved later on the same page. A tag is an organisational marker, not independent evidence of current status.

Give the generated review page a clear project and review date. Before using it at a later meeting, run the scoped search again and reconcile the source notes. Do not assume an older summary remains an accurate account of today's decisions.

Keep the original passages as the place where the reasoning can be understood. If a reviewer needs a decision, identify the specific question and the evidence needed to answer it, rather than circulating a collection of isolated tag names. The summary should shorten the route to the relevant discussion while preserving its meaning.
