Find a Hidden Access Report Control That Spills Onto an Extra Page

by AEPC / AKL East PC 28 Sep 2026

A report can have narrow text columns but still extend beyond its intended page width. A line or other unobtrusive control may reach farther right than the content you naturally inspect. Check the design before deleting blank pages from each exported result.

In desktop Access, Microsoft associates the report-width warning and unnecessary blank printed pages with controls extending beyond the page dimensions. Line controls can be difficult to notice. Open the report in Layout View and use the vertical dashed page-width guides to find controls that cross the boundary.

Compare the control edge with the available width

Work in a report copy and record its intended paper size, orientation and margins. From Print Preview, Page Setup exposes those layout choices. Keep them fixed during the first diagnostic pass so a geometry correction can be distinguished from simply changing the available paper space.

For a hypothetical page 21 cm wide with 1 cm margins on both sides, the interior width is 19 cm. A line starting 1.5 cm from that interior's left edge and spanning 18 cm ends at 19.5 cm. It spills by half a centimetre even if the data columns finish much earlier.

Inspect each report section, including headings and footers, for the rightmost control edge. Shorten or move the actual over-wide control in the copy. Microsoft recommends bringing all controls inside the page dimensions; changing only the most obvious text box can leave the offending line untouched.

Verify content rather than page count alone

Return to Print Preview and compare the entire result. Check the first and last required records, the rightmost column and any totals or footer labels. Fewer pages is not a successful correction if a required item disappeared with the control you removed.

If the extra pages remain, recheck the other sections and the saved layout settings. Do not assume every blank-page problem has this same cause merely because one line was long. Preserve the observed width warning and the before-and-after geometry for further investigation.

Save the reviewed report design and inspect the final exported file when producing one. Correcting the generating layout makes later output more dependable than repeatedly stripping pages whose contents were never examined. The accepted change keeps all intended information within the chosen page dimensions.
